1. Who publishes this site
faxtelecom.com is published by Dim Solution, a French business registered under SIRET 824 358 741 00018, with its registered office at 73 rue Victor Hugo, 77340 Pontault-Combault, France. FaxTelecom is the trading name of its online fax-sending service.
The director of publication is Dimitri Do Bairro. For any question about the site or its content: contact@faxtelecom.com, or the contact page.
Use of the service and purchase of its options are governed by the terms of use and sale.
2. Hosting
The site and the sending platform run on servers operated on behalf of Dim Solution in data centres located in the European Union. Faxes are then carried by telecommunications operators to the recipient’s line.
The hosting provider’s full details can be obtained from contact@faxtelecom.com.
3. Privacy policy
Dim Solution is the controller of the personal data processed on faxtelecom.com, within the meaning of Regulation (EU) 2016/679 (GDPR) and the French Data Protection Act. Our rule: ask only for what sending a fax requires, create no accounts, build no profiles, sell nothing.
For any question about your data, write to contact@faxtelecom.com.
3.1 Data we process
- Sending form: your name and email address, the recipient’s name, country and fax number, the subject and the cover-page message.
- Document: the PDF you upload, with its original file name.
- Transmission tracking: transmission number, creation and confirmation times, status and result code of the transmission.
- Technical data: the IP address the request came from.
- Payment (multi-page transmission or acknowledgments): amount, status, date, Stripe transaction reference and the time at which you waived your right of withdrawal. Your card details are entered with Stripe and never reach us.
- Correspondence: the content of the messages you send us.
3.2 Purposes and legal bases
- Transmitting your fax, building the cover page, sending you the confirmation email, tracking and, where ordered, the acknowledgments: performance of the contract you enter into by submitting the form (Art. 6(1)(b) GDPR).
- Collecting payment and, if needed, refunding paid services: performance of the contract.
- Keeping accounts and supporting records: legal obligation (Art. 6(1)(c)).
- Preventing abuse (fax spam, automated sending, payment fraud) and being able to show what was transmitted in a dispute: legitimate interest (Art. 6(1)(f)), balanced against your privacy through short retention periods.
- Answering your messages: legitimate interest, or performance of the contract when your request concerns a transmission.
No data is used for advertising, profiling or automated decision-making. None is sold or rented.
3.3 How long we keep data
- The PDF: erased automatically once the transmission is over. A paid document that is never confirmed is never sent.
- Form data, tracking data and IP address: twelve months after the transmission, to handle complaints and fight abuse, then deleted.
- Payment data: ten years, the period for which French commercial law requires accounting records to be kept.
- Your messages: as long as it takes to deal with your request, then at most three years from the last exchange.
3.4 Who else has access
Only providers essential to the service are involved; each is bound by contract to use the data solely on our instructions:
- Stripe (Stripe Payments Europe Ltd, Ireland) processes card payments. Some data may be transferred to Stripe, Inc. in the United States, covered by the EU–US Data Privacy Framework and standard contractual clauses.
- Brevo (Sendinblue SAS, France) delivers the transactional emails: confirmation, tracking, acknowledgments, cancellation. It receives your email address and the content of those messages.
- Our hosting provider, in the European Union, stores the data described above.
- Telecommunications operators receive the dialled number and the fax pages, which is inherent in any transmission over the telephone network.
The recipient naturally receives the fax and its cover page. We disclose nothing else to anyone, except when lawfully required by a competent authority.
3.5 Your rights
You may ask to access your data, have it corrected or erased, restrict its processing, receive it in a reusable format, and object to processing based on our legitimate interest. You may also leave instructions on what should happen to your data after your death.
Write to contact@faxtelecom.com, giving if possible the email address you used and the transmission number: that lets us find your data without asking for ID. We reply within one month.
Some data cannot be erased early, in particular accounting records relating to a payment.
If you believe your rights have not been respected, you may lodge a complaint with the CNIL, the French data protection authority (3 place de Fontenoy, TSA 80715, 75334 Paris Cedex 07, www.cnil.fr), or with the authority of the country where you live.
5. Document security
Between your browser and our servers, the document travels over HTTPS. On our servers it is used only to build and transmit the fax: nobody reads it, it is neither indexed nor archived, and it is erased automatically after sending. The tracking link carries a random identifier that cannot be guessed.
The final leg, from our servers to the recipient’s fax machine, runs over the telephone network, where the fax protocol offers no encryption — true of every service and every fax machine. For highly sensitive information, bear this in mind and make sure the number belongs to the machine you expect. Our fax security guide covers good practice in detail.
