Fax delivery receipts
Two PDF records, field by field: what they certify, where they stop, and how to use them when someone says the fax never arrived.
FaxTelecom can issue two PDFs for each fax: a request acceptance receipt, sent once you confirm the request, and a transmission receipt, issued when the receiving machine accepts the fax. The option costs €2.99 and is only charged if the fax is delivered. Together they prove a dated transmission to a number, not that anyone read it.
How the receipts reach you
The option is offered while you send, and again on the fax’s tracking page as long as the fax has not failed. Payment goes through Stripe: your card only receives a hold of €2.99, French VAT at 20% included, as the service is billed from France. If your PDF runs to two pages or more, this is added to the €3.99 sending fee; a one-page fax stays free.
The request acceptance receipt is emailed as soon as you confirm the request through the link you receive. It states what is true at that moment: the request is recorded, validated and waiting in the transmission queue. Nothing has gone out yet, and its footer says so in plain words.
The transmission receipt only exists once the fax has been delivered. It arrives as an email attachment and can also be downloaded from the tracking page. That is the only point at which the hold on your card is captured. If the line is busy, does not pick up or does not answer like a fax machine, the hold is cancelled and an email lets you know.
What each PDF shows, field by field
Both receipts share the same A4 layout. Only the title, the main sentence, the date used and the footer differ.
| Field | Request acceptance receipt | Transmission receipt |
|---|---|---|
| Main sentence | Date and time the request was recorded, fax subject, placement in the queue | Fax subject, date and time of the successful transmission |
| Sender | Name and email address entered in the form | Same |
| Recipient | Name, number as entered and destination country | Same |
| Reference | Unique identifier made of the year and a sequence number | The same reference, linking the two records |
| Status | Status at the time of validation | Final status: delivered to the fax machine, or transmitted with no reply from the machine |
| Submitted at | Date and time the form was submitted | Same |
| Time zone | Central European Time, with the zone printed next to the time | Same |
| Footer | Reminder that the record only confirms acceptance of the request | Issuer statement, FaxTelecom |
What the transmission receipt establishes
During a transmission, the two machines agree on speed and resolution, then the receiving unit confirms each page it gets. When that exchange ends normally, our platform records the status “delivered to the fax machine”, and the receipt reproduces that finding with its timestamp.
The document therefore establishes three facts: the named sender requested a fax, a fax call to the stated number succeeded, and it happened at a precise date and time. When a deadline is running out, that last point is often the one that matters.
One status deserves a closer look: “transmitted, no reply from the machine”. The pages went out, but the far end did not send back its final confirmation. A receipt is still issued, because the sending did happen, and it prints that status as is. Always read the Status line before filing the document.
What it cannot tell you
The receipt says nothing about what happens past the line: who picked up the pages, whether the tray had paper, whether the recipient’s system forwarded the fax to an inbox. Nor does it prove that the number belongs to the person you meant to reach; it shows the number exactly as you typed it.
It does not contain your document either. FaxTelecom deletes the PDF once the transmission is over, so without the original you kept, the receipt shows that a fax with a given subject left, not what it said. That subject, printed on the cover page and on both receipts, is the thread linking the records together.
Presenting the receipts in a dispute
Whether you are answering a supplier, a landlord or a claim in small claims court, present a consistent set rather than a single page: the PDF you sent, the transmission receipt, the request acceptance receipt and whatever shows the number was correct, such as a letterhead, a contract or the official web page as it stood on the day you sent.
Print the receipts without altering them, and keep the original files together with the email that delivered them: the email’s arrival time backs up the timestamp. Quote the receipt reference in your letter or filing; it ties every record to the same transmission without ambiguity.
How much weight a court gives this evidence depends on provincial rules and on the kind of document involved. These pointers are general information, not legal advice; speak to a lawyer or paralegal when a lot is at stake.
Fax receipt or registered mail?
Canada Post Registered Mail with signature confirms that an envelope reached an address and that someone signed for it. A fax receipt confirms a near-instant technical exchange between two machines. They prove different things, and one does not stand in for the other when a statute, a contract or an agency’s instructions require a specific delivery method.
If the rules call for registered mail or personal service, use it. Fax remains useful for anything that must arrive quickly, for sending ahead of a mailed original, or for a recipient that asks for fax in writing.
Common questions about receipts
- What happens if my fax does not go through?
- Nothing is charged for the receipts: the €2.99 hold is cancelled and an email confirms it. If you submit a new fax, you can choose the option again for that new transmission.
- Does the recipient know I ordered receipts?
- No. The receipts go to your email address only. The recipient gets the cover page generated from the form, then your document, with no mention of the option and no advertising.
- Why is the time not in my local time zone?
- Receipts are timestamped in Central European Time, where the service runs, usually six hours ahead of Toronto and nine ahead of Vancouver. The zone is printed beside every time, so converting it for a Canadian file is straightforward.
